Tips on Hotels

Because of a competing event running at the same time as ours, two of these hotels – the Campus Inn and the University Inn – are currently sold out for the dates of June 10th and June 11th.  Some of these rooms may be released after the end of March, but I would only make a reservation at either of these hotels if you only planned to stay for the later days of the conference.

You may also want to save a bit on hotel costs by staying at a place that is further away from city center.  The downside to staying at one of these outlying motels is that you will probably need to rent a car to get around town and you will also have to pay for parking on campus.  The auto rental and parking costs may erode whatever savings you get on your hotel rate.  However, if you planned to rent a car anyway, then staying at a hotel in the ‘burbs might be the right way to go for you.

If you plan to stay near the conference site, you may want to make a reservation at a conference rate secured by SCSMI.  We have reserved two blocks of rooms for conference presenters and guests.  Both are hotels close to the campus.

Madison Concourse Hotel and Governor’s Club.
One block of twenty rooms is available here.  These rooms have either one king-size bed or two double beds.  The rate for either of these types of guest accommodations is $124 per night.  Rates do not include city or state taxes.  Individuals are requested to call the Hotel directly at 1-800-356-8293 to make reservations.  To qualify for the conference rate, you must identify yourself as part of SCSMI when making your guest room reservations.

International guests may wish to email reservations at reservations@concoursehotel.com.  Please identify yourself as part of SCSMI in all correspondence to get the correct guestroom rate.

Note:  The Conference Rate does not apply to rooms reserved through the hotel’s online reservation system.  To get the conference discount, guests must call or email their reservation requests to the Concourse.

Check-in time is after 3:00 PM and checkout time is before 11:00 AM.  Cancellation of individual reservations must be made within 48 hours prior to the day of arrival.  All reservations canceled after 4:00 PM C.S.T., 24 hours prior to arrival, will be charged one night room and tax.  This block of rooms will be held for SCSMI presenters and guests until May 13, 2008.

Best Western Inn on the Park
A second block of thirty rooms is available here.  The rates per night for this hotel are $114 for one bed, $124 for rooms with two beds, and $154 for suites.  Rates do not include taxes of 5.5% for the state and 9% for the city, if applicable.

Individuals are requested to call the Hotel directly at 1-800-279-8811 or at (608) 285-8000 to make reservations.  To qualify for the conference rate, you must identify yourself as part of SCSMI – Society for Cognitive Studies of the Moving Image Block when making your guest room reservations.

International guests may wish to email reservations at reservations@innonthepark.net.  Please identify yourself as part of SCSMI in all correspondence to get the correct guestroom rate.  You should also include: your First/Last name, address, phone number, arrival and departure date, and information about how they will guarantee the room.  The latter will necessitate putting credit card information in your email correspondence.  If you are uncomfortable with that, you should plan to call for your reservation instead.

Note:  The Conference Rate does not apply to rooms reserved through the hotel’s online reservation system.  To get the conference discount, guests must call or email their reservation requests to Inn on the Park.

Check-in time is after 3:00 PM and checkout time is before 12:00 PM.  Cancellation of individual reservations must be made within 48 hours prior to the day of arrival. This block of rooms will be held for SCSMI presenters and guests until May 10, 2008.
